The digital transformation of Ukrainian higher education has become vital, especially under the conditions of the ongoing war since 2022. This study analyzes automated management systems used in Ukrainian universities, focusing on their functionality, effectiveness, and contribution to institutional sustainability.

Universities face declining enrollment, higher quality standards, and the need for efficient resource use. Automation has therefore become a key tool for improving management and competitiveness. Automated systems integrate information technologies to optimize academic, administrative, and managerial processes, including student data, scheduling, finances, and communication.

Full-scale invasion accelerated the implementation of digital systems to ensure educational continuity amid infrastructure destruction and mass displacement. This shift revealed the necessity to modernize traditional management models and integrate IT solutions across all university operations.

This research distinguishes several types of systems: Educational Management Information Systems (EMIS), digital learning platforms, electronic document management systems (EDMS), and learning management systems (LMS). Among them, the Automated Information Complex for Educational Management (AIKOM) supports management decisions and aims for complete electronic document circulation. The governmental platform “Diia.Osvita” promotes the development of digital competencies and practical IT skills.

Commercial EDMS systems – such as Megapolis.DocNet and ASKOD – offer advantages in automation and data security but lack features specific to academic workflows, such as managing student records, grades, and theses. This limits their effectiveness for higher education institutions.

This study also emphasizes the growing importance of individualized learning, as outlined in the Law of Ukraine “On Education.” However, its implementation is hindered by limited resources and coordination challenges. Integrated automated systems can resolve these issues through resource optimization, intelligent learning tools, and data analytics.

The analysis concludes that existing Ukrainian solutions, including “Decanat” and “VNZ”, automate only separate processes and lack full integration of administrative, academic, and personalized learning components. The priority direction for development – is a comprehensive automated management system tailored to higher education needs, capable of ensuring secure, efficient, and adaptive operation under crisis conditions.
